Participant Terms, Assumption of Risk, Release, and Cancellation Policy

Flicker: The Timeless Ways Gathering  ·  October 18–24, 2026

We're so glad you're coming home to the land with us. Flicker is a week of living close to the earth, with real fire, real tools, real animals, and real wilderness. That's what makes it worth coming for, and it's also why we ask everyone to read these terms carefully. When you buy a ticket you'll be asked to type your full name, which serves as your electronic signature. It confirms that you've read, understood, and agree to everything below.

Key Terms at a Glance

•      Your reservation deposit is one-third of your ticket tier price, and it is nonrefundable as soon as you pay it.

•      From September 18, 2026 onward, no part of the ticket price is refundable.

•      You may transfer your ticket to another person until October 11, 2026 (see Section 3).

•      Flicker is a rural, off-grid camping event far from emergency medical services. You are taking part at your own risk.

•      A parent or legal guardian must complete a separate agreement for every participant under 18.

1. Who We Are

Flicker is an event produced by Timeless Ways LLC ("the Organizer") and hosted at the property known as Timeless Ways, near Nevada City in Nevada County, California. In this agreement:

•      "Flicker" or "the event" means Flicker 2026, held October 18–24, 2026, with all of its activities, workshops, meals, camping, and programming.

•      "The Property" means the land, buildings, campsites, creek, trails, and facilities at Timeless Ways.

•      "Released Parties" means Timeless Ways LLC; "Woniya" Dawn Thibeault; and their respective members, staff, contractors, instructors, co-organizers, and volunteers.

•      "You" or "Participant" means the person whose name is entered below. If you are registering a minor, it also covers that child, as described in Section 9.

2. Tickets, Payment, and Reservation Deposit

The reservation deposit on every ticket is one-third (⅓) of your ticket tier price.

•      Three-payment plan: Your first payment is the reservation deposit. It counts toward your total ticket price. Your remaining two payments are due at one month intervals until the remainder has been paid.

•      Pay in full: One-third of the ticket price is your reservation deposit, and the rest is your remaining balance.

The reservation deposit is nonrefundable from the moment it is paid, whatever the reason for cancelling. If a scheduled payment doesn't go through and isn't made up within 7 days, we may release your spot. Amounts you've paid will then be handled under the cancellation policy below.

3. Cancellation, Refunds, and Transfers

We hope everyone who registers can be with us. We also know life is unpredictable. To cancel, email flickervillage@gmail.com Your cancellation takes effect on the date we receive the email.

•      Received by September 17, 2026: We refund what you've paid, minus the nonrefundable reservation deposit.

•      Received on or after September 18, 2026: No refunds are available, but your balance, minus your deposit, can be applied toward participation in a future Flicker or, upon approval by Woniya, another offering from her personally or through Timeless Ways.

Ticket transfers. You may transfer your ticket to someone else until October 11, 2026. Either way, email us at flickervillage@gmail.com with the new attendee's name and contact details. The new attendee must complete their own copy of this agreement before arriving. There are two ways to transfer:

•      Private transfer: You and the new attendee settle any payment between yourselves. We keep the payments already made on the ticket and reassign it to the new attendee. We don't issue any refund, and any remaining installments on the ticket are still due.

•      Transfer through us: The new attendee buys their own ticket at the same tier. Once their payment clears, we will refund what you paid in full / minus a $75.00 transfer fee.

If you're removed from the event for violating these terms or the Participant Code of Conduct, you won't receive a refund or credit.

4. If We Change or Cancel Flicker

Flicker takes place on wild land during fire season, and some things are out of our control. These include wildfire, smoke, evacuation orders, dangerous weather, public-health restrictions, road closures, and other emergencies.

•      Changes: We may change instructors, workshops, the schedule, menus, campsites, or activities when we need to. These changes aren't grounds for a refund.

•      Cancellation by the Organizer before the event: If we cancel Flicker before it starts, we'll refund all amounts paid or offer the choice of a full refund or full credit toward a future Flicker.

•      Postponement: If we postpone, your ticket carries over to the new dates. If you can't attend the new dates, you'll receive a refund of amounts paid or a credit.

•      Shortened or interrupted event: If we have to end the event early or evacuate for safety reasons after it starts, refunds or credits will be considered case by case. No refund is owed for days already held.

•      Your own expenses: We aren't responsible for travel, lodging, gear, lost wages, or other personal costs, even if the event is changed, postponed, or cancelled.

5. Food, Health, and Medical

Meals. Your ticket includes breakfast and dinner each full day of the event, beginning with dinner on our first day and ending with breakfast on our final day. Lunch will not be provided, so be sure to plan accordingly and bring your own.

Our group meals are cooked in an outdoor camp kitchen. We can't guarantee allergen-free preparation or prevent cross-contact. If you have a serious food allergy, you're responsible for managing it, including bringing your own food and emergency medication as needed. Please tell us about critical allergies and dietary needs through the participant form you will receive after registration.

Health and fitness. You're responsible for deciding whether you're physically and medically able to attend. Flicker involves camping, uneven ground, potential hiking to our site and during classes, carrying gear, and physical work. Bring enough of any personal medications for the whole week and manage them yourself.

Emergency treatment. You authorize the Organizer and staff to seek emergency medical care for you if you can't do so yourself. That includes calling emergency services and arranging transport. You're responsible for any resulting costs. Please give us an emergency contact through the private participant form.

6. Assumption of Risk

I understand that Flicker takes place on largely wild, rural, off-grid land, and that taking part involves inherent risks that cannot be fully eliminated. These risks include, but are not limited to:

•      Remote conditions: seven days of rural camping with limited utilities, limited or no cell service, and significant distance from hospitals and emergency medical services

•      Terrain and water: steep and uneven ground, stumps, vines, and other tripping hazards; hiking and carrying gear; a cold, spring-fed creek that can run with fast current

•      Nature and weather: wildfire, smoke, evacuation, falling trees and branches, heat, cold, storms, and other severe weather; poison oak; ticks, insects, spiders, snakes, and wild animals

•      Tools and fire: knives, axes, awls, saws, metal and stone tools, ferro rods, fire-making, and open flame

•      Animals and food: contact with goats and other livestock; animal processing and whole-animal butchery, including exposure to blood and raw meat; hide tanning; food preparation, foodborne illness, allergens, and cross-contact

•      Physical work: land-tending, communal chores, and physically demanding activities

•      Transportation: any optional rides provided on or around the Property

•      Other people: the actions of other participants, guests, and third parties

Knowing these risks, I voluntarily choose to participate and assume all risks, known and unknown, of injury, illness, death, and damage to or loss of property arising from my participation in Flicker or my presence on the Property. I agree to take responsibility for my own safety, to learn about the risks, to use good judgment, to follow instructions, and to sit out any activity I don't feel able to do safely.

7. Release of Liability

To the fullest extent permitted by California law, I release the Released Parties from any claims, demands, or causes of action for injury, illness, death, or loss or damage to property arising from my participation in Flicker or my presence on the Property, including claims arising from the ordinary negligence of the Released Parties.

This release does not apply to claims arising from a Released Party's gross negligence, willful misconduct, fraud, or violation of law.

8. Responsibility for My Own Conduct

I agree to be responsible for, and to reimburse the Released Parties for, any claims brought by third parties against them that are caused by my own negligent, reckless, or intentional conduct during Flicker. That includes any damage I cause to the Property.

9. Participants Under 18

Families and children of all ages are welcome at Flicker. For every participant under 18:

•      A parent or legal guardian must complete and sign a separate Minor Participation Agreement for each child.

•      Children must stay under the supervision of their parent, guardian, or a designated responsible adult at all times. Youth programming at Flicker is not childcare / is supervised only during scheduled program hours, and parents or guardians remain responsible for their children.

•      Some activities, including butchery, tool use, fire-making, creek access, have age or readiness requirements set by the instructor. Staff may decline to include a child in any activity.

•      The parent or guardian must provide emergency contacts, emergency treatment authorization, and the names of any other adults authorized to supervise the child.

•      Parents or guardians make a separate photo and video choice for each child (see Section 11).

10. Participant Code of Conduct

Flicker is a community, and we care for one another and for the land. By attending, I agree to:

•      Practice consent and respect. Harassment, discrimination, threats, and violence of any kind aren't tolerated.

•      Follow the directions of "Woniya" Dawn Thibeault and Flicker staff, especially around safety, fire, tools, animals, and emergencies.

•      Use tools safely and only as instructed. Weapons aren't allowed, except for tools used in scheduled instruction or recommended on the event gear list.

•      Follow fire rules. No fires outside designated fire areas without express staff approval. No fireworks. Follow all fire restrictions in effect.

•      Alcohol and substances: Illegal drugs and illicit substances are prohibited. Anyone whose intoxication creates a safety risk may be asked to leave.

•      Care for the land. Pack out what I bring, respect plants, animals, water, and wild areas, and stay out of areas marked off-limits.

•      No unregistered guests unless approved in advance by the Organizer.

•      No pets unless approved in advance.

•      No professional audio or video recording equipment without written permission.

•      No unauthorized vending or solicitation.

The Organizer may remove anyone from the event, without refund, whose conduct is unsafe, harmful, or in violation of these terms. Serious violations may lead to removal without warning.

11. Photography and Video

The Organizer may photograph and film Flicker for documentation and promotion. At registration, you'll be asked to opt in or out of appearing in promotional images. Parents and guardians make this choice separately for each child.

12. Personal Property

The Released Parties aren't responsible for lost, stolen, or damaged personal belongings, vehicles, or gear.

13. General

•      I agree that typing my name at registration is my electronic signature and has the same effect as a handwritten signature.
